The Ultimate Guide to Unique Wedding Stationery and Signage
Wedding Stationery & Signage
One of the most customizable and impactful elements of any wedding is the stationery and signage. While photographs capture memories, wedding stationery and signage help tell the story of the celebration as it unfolds, informing, guiding, and immersing guests throughout the experience. From the moment guests receive their Save-the-Date to the final details displayed at the reception, intentionally designed paper goods set the tone, build anticipation, and contribute to the overall atmosphere of the wedding.
When designing our couples' weddings, we strive to ensure every detail reflects their YOUnique personality and vision. Wedding stationery and signage often serve as the bridge between why we are celebrating and how we are celebrating. From the invitation suite to the menu placed at each guest's seat, every design element should work harmoniously with the florals, linens, lighting, and décor. When all of these elements come together cohesively, the wedding transforms into a timeless and visually stunning experience.
In this guide, we'll explore the many types of wedding stationery and signage couples can incorporate into their celebration, along with creative ideas and expert tips for designing details that feel personal, intentional, and uniquely their own. We always recommend hiring a local stationer or calligrapher as part of our Be YOUnique Events’ mission to support local event artists who truly are passionate about their crafts.
“Beyond the photos and video, customized stationery elevates the guest experience. It creates anticipation, sets the tone for the celebration, and helps guests feel connected to the couple's vision from the moment they receive the invitation to the moment they leave the reception.”

What is Included in Wedding Stationery & Signage?
Wedding stationery includes items such as Save-the-Dates, invitation suites, RSVP cards, menus, place cards, and thank-you notes, while wedding signage encompasses welcome signs, seating charts, bar menus, directional signs, and more. Together, these wedding paper goods and signage elements provide countless opportunities to showcase a couple's personality, love story, and wedding aesthetic. Below is a more complete list:
Save-the-Date
A Save-the-Date provides guests with advance notice of your wedding date and location, helping them plan travel and accommodations before invitations are sent. It is also the first glimpse your guests receive of your wedding style, tone, and design as they begin their journey toward your wedding day.
Etiquette Tip: Everyone who receives a save-the-date card should also receive an invitation.
Invitation Suite
An invitation suite formally invites your guests while providing the final details regarding the wedding. According to Emily Post's Wedding Etiquette, 6th Edition, "most invitations are sold as a four-piece set consisting of the invitation, the reply card, and their respective envelopes."
Custom wedding invitations can also include a Details Card if there is important travel information to communicate or if there is a significant gap between the ceremony and reception that requires additional explanation. Thoughtfully designed invitation suites help establish a cohesive wedding aesthetic from the very beginning.
Welcome Letter & Wedding Weekend Itinerary
A welcome letter and wedding weekend itinerary are typically created for guests traveling from out of town to attend your wedding. The welcome letter is usually a personalized note from the couple welcoming guests to the city and thanking them for being part of the celebration.
The itinerary outlines the weekend's events in chronological order, which may include a welcome reception, rehearsal dinner, wedding ceremony, farewell brunch, or other planned activities. If transportation has been arranged, such as a shuttle service, the itinerary should clearly state pickup and drop-off times and locations.
These wedding paper goods are often included in a welcome bag filled with useful items for guests' stay.
Our Expert Tip: These are even more important for destination weddings, as they help keep everyone informed and on the same page throughout the wedding weekend.
Welcome Sign
A welcome sign informs guests that they are in the right place. It is also one of the first wedding signage elements guests see upon arriving at your ceremony venue, making it an effective way to set the tone for the wedding experience.
Our Expert Tip: Consider moving your welcome sign from the ceremony entrance to the reception entrance so it can continue serving its purpose as guests transition into cocktail hour and the reception.
Ceremony Program
This piece of wedding day stationery is especially valuable for religious or cultural ceremonies, as it helps guests follow along and better understand traditions that may be unfamiliar to them.
Seating Chart
A seating chart directs guests to their assigned tables for dinner and the reception. As one of the most important wedding signage ideas to consider, it helps ensure a smooth transition from cocktail hour to the reception space.
Our Expert Tip: If cocktail hour takes place in a different location than the reception, move the seating chart to the entrance of the reception space. This allows guests to quickly reference their table assignments again before finding their seats.
Escort Cards & Place Cards
Escort cards and place cards are often confused, but they serve different purposes.
Escort cards direct guests to their assigned table but allow them to choose their own seat at that table. They are typically displayed together on a table and include the guest's name and table number.
Place cards assign guests to a specific seat and are placed directly at each designated place setting.
Our Expert Tip: For plated dinners, we strongly recommend using place cards with meal indicators. A discreet symbol, color, or icon can indicate each guest's meal selection, provided there is a key explaining what each indicator represents. While escort cards can also include meal indicators, place cards allow the catering team to serve meals more efficiently as guests remain in their assigned seats. This streamlines service and reduces confusion for waitstaff during meal delivery.
Guestbook
The guestbook is where guests leave their well wishes, words of wisdom, and advice for the newlyweds. It is typically displayed during cocktail hour or within the reception space and serves as a meaningful keepsake that couples can cherish for years to come.
Menus
Menus are optional wedding stationery pieces that inform guests of the meal selections planned for the reception. They can be printed for each guest and placed on top of the charger or dinner plate, or one menu can be provided per table for guests to reference throughout the meal.
Our Expert Tip: Even though guests may have selected their meal months before the wedding when submitting their RSVP, most forget the details of the menu by the time the wedding arrives! Custom menus can be designed to blend seamlessly with the rest of your wedding décor while building excitement for the overall food and beverage experience.
Bar Menu
Bar menus are another optional piece of wedding day stationery and can feature signature cocktails, mocktails, beer, wine, or specialty beverage offerings. They are typically displayed on or near the bar so guests can easily reference them while ordering drinks.
Our Expert Tip: We recommend printing at least two bar menus, especially if there is more than one bartender or bar station. We also suggest ordering them in an 8" x 10" size or larger to ensure the text remains legible throughout the evening, particularly once the lighting becomes dimmer. For outdoor weddings, consider using a sturdy frame or paperweight to keep the sign secure and upright.
Party Favor Tags
Party favor tags are often attached to wedding favors and either welcome guests to the reception or thank them for attending the celebration. These can be printed as stickers or attached as tags tied around the favor itself.
Our Expert Tip: Through our experience, the best wedding favors are either practical or consumable. Small trinkets and decorative items are often left behind or eventually discarded. We strongly encourage couples to provide favors as a thoughtful way to thank guests for celebrating with them. It is a simple yet meaningful gesture of hospitality and appreciation.
Interactive Activities
Interactive activities can range from coloring books for children attending the wedding to crossword puzzles, trivia games, or scavenger hunts centered around the couple's relationship. These activities often require accompanying signage to explain the instructions and encourage guest participation.
Our Expert Tip: Interactive activities are a wonderful way to keep guests engaged during cocktail hour and throughout the reception. These thoughtful touches encourage guests to mingle, start conversations, and connect with one another, helping create a fun, welcoming, and memorable atmosphere.
Thank You Cards
Thank You Cards are traditionally mailed or hand-delivered to guests who gave gifts at the bridal shower, engagement party, or wedding.
Etiquette Tip: Handwritten thank you cards are always preferred whenever possible. Your guests took the time to celebrate with you, purchase a gift, and share their warm wishes. A personalized note expressing your gratitude is a thoughtful way to acknowledge their generosity and support.
How to Make Your Wedding Stationery YOUnique
Incorporate Your Love Story
Now for the fun part! Do you and your fiancé or fiancée enjoy the same movies, hobbies, or interests? Every couple has a distinct personality and stationery and signage is an easy way to showcase it to your guests! Instead of having a monotone black and white seating chart with simple calligraphy, why not take this one step further to educate guests on what makes you two you? If you love traveling, you can use a map of your favorite city or country and have the table numbers represent the landmark or city your guests will be sitting at! In this example, your guests will walk to their tables now knowing your favorite city or country, which is probably a fact they did not already know.
Below are some more ideas on how to incorporate your love story within your stationery and signage:
If you love wine —> use wine bottles as table numbers
If you love sports —> create your own tournament bracket for your seating chart
If you love art —> include a blank canvas for your guests to paint on as your guestbook
If you love your pets —> have a stretching cat/dog as the place card holders
If you love movies —> name your signature drinks after your favorite movie
If you love music —> create a music festival ticket or a record save-the-date
If you love history —> include your favorite historical quote or phrase in your ceremony program

The possibilities are truly endless. The goal isn't to incorporate every creative idea you can think of. It's to choose details that authentically reflect your relationship. The best wedding stationery doesn't just look beautiful, it tells your story.
Choose a Distinctive Color Palette
One of our first steps at Be YOUnique Events is creating a custom mood board and wedding color palette for each event. While it can be tempting to follow current trends, we often recommend incorporating colors that reflect your unique love story and personalities. For example, if you and your fiancé or fiancée love spending time at the beach, shades of sand, seafoam, or soft blue can be incorporated into your wedding design to subtly showcase your connection to the ocean.
We typically recommend selecting no more than five or six colors, with the sixth serving as an accent color used sparingly throughout the wedding. Accent colors are often metallics or wood tones that appear in design elements such as charger plates, chairs, candlesticks, signage frames, and other décor details.
Limiting your wedding color palette to five or six thoughtfully selected colors helps create cohesion across every design element. From your florals and event rentals to your linens, wedding stationery, and signage, a consistent color palette creates a more polished atmosphere and visually harmonious guest experience.
We encourage couples to make their color palette truly personal. If you love nature, draw inspiration from your favorite landscapes. If you love sports, consider incorporating colors inspired by your favorite team. Meaningful color choices can transform a beautiful wedding into one that feels authentically you.
Your color palette is especially important when designing wedding stationery and signage. Keeping track of specific color codes, such as HEX, CMYK, or Pantone values, can help maintain consistency throughout the design process. Sharing these color specifications with your stationer, calligrapher, florist, rental company, and other vendors will ensure every element works together seamlessly on the wedding day.
Experiment with Textures & Materials
Stationery and signage can come in all shapes and sizes, but they can also feature a variety of textures and materials. At Be YOUnique Events, we think about all five senses when designing weddings. While wedding stationery and signage are primarily visual elements, they can also engage a guest's sense of touch. Therefore, incorporating smooth, handmade, textured, natural, or metallic materials can help enliven the senses and create a more immersive experience.
Not only will your guests notice the intentionality behind an invitation suite, menu card, or seating chart, but they will also naturally feel something when interacting with these pieces. Thoughtfully selected textures create a deeper connection to your wedding design because guests are able to physically engage with them.

Signage does not have to be limited to paper products. It can be displayed on linen, wood, canvas, mirrors, and many other materials. The medium should be thoughtfully chosen to complement your unique love story and overall wedding aesthetic. It should also be the best vehicle for communicating the message, information, or imagery you want to share with your guests.
The more connected guests feel to your stationery and signage, the more likely they are to engage with the details, appreciate the intentional design, and feel immersed in the celebration of your marriage.
Our Expert Tip: Sustainability is an important part of our philosophy at Be YOUnique Events. As you explore different materials for your wedding stationery and signage, consider selecting options that can be recycled, composted, repurposed, or enjoyed long after the wedding day. For example, Botanical PaperWorks produces seed paper that can be used for wedding stationery. Rather than discarding the stationery after the wedding, guests can plant it and grow flowers from it, creating a memorable and sustainable keepsake from your celebration. We love incorporating natural materials such as paper, wood, linen, and canvas, and we generally encourage couples to avoid single-use plastics whenever possible. Small design decisions like these can help create a beautiful celebration while being mindful of our environmental impact.
Add Interactive or Unexpected Details
Guests love engaging with events through interactive experiences! Whether this means writing a "prescription for love" for a couple in the medical field or solving a custom crossword puzzle featured in a wedding newspaper filled with fun facts about the couple, interactive activities encourage guests to become active participants in the celebration.
These experiences often prompt guests to reflect on their relationships with the couple and the life lessons they can share with the newlyweds. While guests are already excited to celebrate, interactive activities can also help break the ice between people who may not know each other well. Conversations between the bride's coworker and the groom's cousin can naturally occur as they participate in an activity together! Interactive details promote a more positive, inclusive, and joyful atmosphere for everyone involved.
Unexpected details are another meaningful way for guests to connect with your celebration. One recent trend that we believe is truly timeless is when couples write personalized letters to each guest. Imagine taking your seat, seeing an envelope with your name on it, and discovering a heartfelt message written especially for you. Guests instantly feel appreciated and become an even more meaningful part of the couple's love story.

For one of our couples, we created table numbers inspired by their beloved cat, Charlie, titled "Charlie's Nine Lives." Since there were nine tables, each table featured photos highlighting Charlie's different personalities, adventures, and poses. Charlie quickly became the star of the reception, which was exactly what the couple envisioned because of how much they adored their cat!
Needless to say, interactive and unexpected details enhance the wedding experience and encourage guests to connect with one another. They add another layer of depth to the celebration and contribute to the overall event design. Guests may discover something new about the couple's love story, form new connections with others, or simply take a moment to appreciate the significance of such a special day.
Tips for Creating a Cohesive Wedding Stationery Suite
There are a few design elements to consider when creating a stationery suite and signage. It can be difficult to source stationery and signage from different stationers or calligraphers while maintaining a consistent design. Therefore, our biggest tip for creating a cohesive wedding stationery and signage suite is to work with one stationer whenever possible. If you choose to work with multiple professionals, ensure they communicate with one another and have access to the same fonts, color palette, illustrations, and design guidelines. When guests recognize these repeated design elements throughout the celebration, the wedding feels more intentional and thoughtfully curated.

We recommend selecting two fonts that are noticeably different from one another. They should also be legible for guests to read. If you are struggling to read something, odds are others will struggle too, which defeats the purpose of the sign or invitation. We suggest selecting one font for titles and decorative elements and another for body text and important information. This approach creates visual interest while ensuring readability.
As we previously mentioned, having a set color palette helps each sign and stationery piece coordinate with one another. You do not have to use all the colors from your palette in every piece. Use darker colors for text and lighter colors for accents and illustrations. This will promote legibility and help create contrast between the text and motifs.
Selecting illustrations for the background of your stationery suite and signage can be both fun and overwhelming, but they can add depth to your overall design. These can include florals, borders, stripes, swirls, gingham, shells, champagne flutes, and more. Adding transparency to these accents allows you to layer images and create visual interest. Ensure the motifs remain consistent or complement one another across all of your stationery and signage pieces. We highly encourage you to choose illustrations that showcase your unique love story!
Be careful not to fall into the trap of designing a stationery suite that solely reflects current trends rather than elements inspired by your love story and personality. If the trends resonate with you, feel free to incorporate them, but put your own spin on them! That is what will ultimately make your stationery and signage details timeless.
“I often tell couples that custom stationery is one of the few design elements guests interact with throughout the entire wedding journey. When designed intentionally, these details become both functional and meaningful, transforming beautiful moments into lasting keepsakes.”
Working with a wedding planner and designer can help alleviate the daunting task of keeping your stationery suite and signage cohesive. We love collaborating with local stationers and calligraphers who are experts in their craft. Most importantly, we help ensure every stationery and signage detail authentically reflects your story and contributes to a wedding experience that feels undeniably YOUnique.
Final Thoughts
If there is one thing to take away from this blog, it is to think of stationery and signage as an opportunity to integrate your guests into your wedding experience and design. Guests appreciate thoughtful details that help them navigate the celebration, whether through welcome signage, bar menus, guestbooks, or interactive activities that encourage connection and engagement.
Working with a wedding planner and stationer can help create cohesion throughout your stationery suite and signage while ensuring every detail reflects your vision. Most importantly, have fun creating YOUnique designs through personalized fonts, illustrations, colors, materials, and unexpected details that authentically tell your love story.
When your wedding stationery and signage are intentionally designed, they become more than paper products and décor pieces, they become meaningful elements that transform your celebration into an unforgettable experience for both you and your guests.
